Visa & Residence Permit Support

1. Introduction

QUI provides full guidance and administrative support for international students applying for Vietnamese visas and residence permits. This document outlines the required procedures, documents, and responsibilities for students entering and staying in Vietnam for academic purposes.

2. Types of Visa for International Students

The following visa categories are commonly applied:
- **Student Visa (DH)** – for students enrolling in academic programs or exchange mobility.
- **Short-Term Visa** – for students staying less than 90 days.

Exchange and Erasmus+ students normally receive a **DH visa sponsored by QUI**.

3. Visa Application Process (Before Arrival)

Step 1 – Receive Acceptance Letter
QUI issues an official Letter of Acceptance and visa invitation letter.

Step 2 – Prepare Required Documents
Students must prepare:
- Passport (valid for at least 6 months)
- Visa application form (from Vietnamese Embassy/Consulate)
- Passport-size photos
- Letter of Acceptance (QUI)
- Visa invitation letter (QUI)

Step 3 – Submit Documents
Students apply at the nearest Vietnamese Embassy/Consulate.
In some cases, students can obtain a Visa on Arrival (if approved).

4. Temporary Residence Permit (Post-Arrival)

Students staying more than 3 months must obtain a temporary residence permit (TRP).

QUI supports students in preparing:
- Passport and visa
- Completed TRP application form
- Health declaration
- Confirmation of study at QUI
- Photos (2×3 or 4×6, depending on requirement)

The International Relations and Cooperation Office (IRCO) submits the application to the Immigration Department.

5. Student Responsibilities

Students must:
- Provide accurate documents and information.
- Follow immigration deadlines strictly.
- Inform IRCO immediately if the passport is lost, renewed, or replaced.
- Not overstay their visa under any circumstances.
- Carry copies of important documents when traveling within Vietnam.

6. Estimated Processing Time

- Visa approval: 10–15 working days
- Residence permit processing: 7–10 working days

Processing time may vary depending on the Immigration Department.

7. Fees

Visa and residence permit fees are regulated by the Vietnamese Government:
- Student visa: approx. 25–50 USD
- Temporary residence permit (1 year): approx. 80–120 USD

*Erasmus+ students: Fees may be reimbursed depending on host–sending institution agreements.*
